Responsibilities*

  • Responsible for the coordination of daily functional supervision for the clerical team.
  • Provides interpretation and instruction for policies, procedures, and practices.
  • Maintains work schedules, reviews timesheets for accuracy and assists with performance evaluations for other clerical team members.
  • Provides in service training and onboarding for new clerical staff.
  • Participates with leadership team to ensure effective clinical operations.
  • Lead team huddles and encourage process improvement.
  • Efficiently check patients in and out for their clinic appointments.
  • Schedule patients for follow up appointments at check out.
  • Maintains clinic calendar, rescheduling patients after clinic closures.
  • HIM and POC scanning including PT notes, diaries, testing, labs, notes, letters, record sets- and notifies appropriate physicians.
  • Handles incoming and outgoing faxes regarding new plans of care, progress, and discharges for patients in physical therapy.
  • Retrieves records from patients, outside facilities, ROI.
  • Follows up on patients who cannot be contacted by nursing by sending them a letter requesting a call back.
  • Actively comb provider schedules for appropriateness.
  • Monitors weekly schedules for cancellations and contact patients to move up appointments.
  • Work prior day?s schedule to look for patients who didn?t check out and video/tele visits so no follow up tasks are missed.
  • Assist patient with insurance codes.
  • Obtains physician signatures in SignNow
  • Tracks, reorders, and distributes supplies for MBCP.
  • Sends work orders to Support Services for office repairs, general maintenance, housekeeping, following tickets through completion.
  • Creates and sends out administrative meeting agendas and minutes.
  • Sort and distribute physician mail.
  • Assist in FMLA, medical, and return-to-work/school paperwork management.


Required Qualifications*

  • High School Diploma or GED.
  • 5+ years of experience.
  • Knowledge of basic medical terminology.
  • Demonstrated ability to lead a team or project.
  • Experience facilitating and coordinating a patient?s continuum of care, as well as, identifying and recommending appropriate resources available.
  • Exceptional interpersonal skills and ability to work well within a team setting.
  • Communicates effectively.
  • Demonstrates active listening, written, verbal and information technology skills.


Desired Qualifications*

  • Bachelor?s degree in a health related field, Business Administration or other related field.
  • Experience working within a large, complex health care setting.
  • Familiarity with UMHS electronic medical record systems.
