General Purpose

The Office of Racial Equity, Inclusion, and Belonging is seeking a dedicated and detail-oriented Administrative and Financial Coordinator to advance our purpose of embedding equity, inclusivity, and belonging within city governance. This essential role will deliver high-level operational support and moderately complex business/accounting assistance to the REIB. Additionally, the Administrative and Financial Coordinator will assist with the logistics of program and outreach initiatives, while serving as the first point of contact for city employees, community partners, and stakeholders. This position has extensive interaction with the public and will support the development and implementation of the REIB’s social media strategies to enhance visibility and engagement. Under the direction of the REIB Director, the Administrative and Financial Coordinator will develop strategies to improve operations and outreach by creating and implementing administrative systems and processes to ensure REIB’s success. The Administrative and Financial Coordinator will also support the REIB’s various committees and task forces. The ideal candidate will possess a demonstrated commitment to racial equity and inclusivity, with a focus on fostering a sense of belonging across a diverse group of constituencies.

Essential Job Functions

Constituent Relations

  • Perform general operational functions, i.e., assist with mail functions, monitor office supplies and inventory, maintain and update records and files containing sensitive information, and prepare and distribute documentation, memorandums, standard reports, meeting agendas, etc.
  • Respond to routine and complex inquiries from internal and external stakeholders. Use judgment in the application and disclosure of confidential information. Interpret and communicate regulations, policies, and procedures related to operations and financial transactions based on a comprehensive knowledge and understanding of the City of Burlington and REIB policies, procedures, and regulations.
  • Protect confidential information regarding departmental matters; record actions to be taken on sensitive matters; release information to authorized parties and outside sources as directed using diplomacy, tact, and solid judgment

Office Administration and Financial Duties

  • Manages the front desk administrative tasks and communicates with community members. Open, review, and prioritize incoming mail. Prepare and post outgoing mail. Prepare documents for Director’s signature and return to requestor at the direction of Director.
  • Draft a variety of correspondence, including: memos, meeting minutes, reports, agendas, and confidential documents. Assemble program materials and coordinate office functions to meet deadlines.
  • Prepare records for audits and public information requested, either electronically or in writing.
  • Assist in data collection and analysis to support the REIB’s initiatives and program evaluations, contributing to reports and presentations as needed.
  • Create, curate, and post engaging social media content across various platforms to promote the REIB’s initiatives, events, programs, and community resources. Develop a social media content calendar in alignment with the REIB’s goals and campaigns, ensuring timely and relevant updates. Monitor social media engagement, respond to inquiries, and analyze performance metrics to enhance outreach and impact.
  • Coordinate and staff REIB committee and task force meetings in accordance with Open Meeting Law.
  • Coordinate activities with internal and/or external groups, committees, and community agencies related to projects, initiatives, marketing, referrals, and information sharing.
  • Serve as a representative of the REIB at meetings and events as requested by the REIB Director and/or program staff.
  • Utilize the City of Burlington’s financial systems to perform routine to moderately complex and specialized business/accounting operations in support of the REIB. Maintain and organize electronic and paper files, ensuring that all documentation related to financial transactions, contracts, and events is accurate and easily accessible.
  • Initiative, verify, and process financial transactions. Review, analyze, and reconcile accounts; resolve discrepancies related to financial transactions and reporting and ensure compliance with City of Burlington and regulatory provisions.
  • Prepare accounting reports, which includes budget, expenses, revenues and deposits

Qualifications/Basic Job Requirements

  • Ability to actively support City diversity, equity, and cultural competency efforts within stated job responsibilities and work effectively across diverse cultures and constituencies.
  • Demonstrated commitment to diversity, equity and inclusion as evidenced by ongoing trainings and professional development.
  • Associates degree and two years’ experience working in a computerized office environment required. Experience working with financial transactions and account records preferred.
  • Additional experience may be substituted for a degree requirement on a two-for-one year basis.
  • Strong written and verbal communication.
  • Strong computer skills, including MS Office required to fulfill the essential functions of the job. Visio and database management is preferred.
  • Ability to maintain the utmost level of confidentiality, integrity and trustworthiness.
  • Ability to communicate diplomatically and effectively with the general public, elected officials, employees and outside entities in a courteous, in a professional and confidential manner is required.
  • Ability to plan, develop and implement office procedures and make decisions on priority and scheduling of work.
  • Ability to operate standard office equipment, including copier, adding machine, postage meter, and recording equipment.
  • Ability to understand and comply with City standards, safety rules and personnel policies.
  • Regular attendance is necessary and is essential to meeting the expectations of the job functions.
