Administrative Assistant I, Advising & Retention Services
Grade 15, AFSCME Unit position, 37.5 hours/week
Campus Location: Lynn
Work Schedule: Monday - Friday; 9:00 am - 5:00 pm
Must be available for occasional evening and weekend events.
SALARY: $2,028.38 biweekly, ($52,737.88 per year) with fringe benefits. An appointment made from outside the bargaining unit (AFSCME) must start at this salary, step #1 of the range or as adjusted in accordance with the AFSCME collective bargaining agreement. General Statement Of Duties
Provides administrative support to the Director of Advising and Retention. Assists in the development and implementation of Advising and Retention policies with the Director, Coordinator of Academic & Transfer Advising and Advising & Retention staff. Responsible for routine and special projects. Maintains an efficient and welcoming environment of a student-centered office.
Essential Functions
- Coordinates office support functions included: scanning documents', creating databases, entering data, maintaining statistical data, preparing charts and tables, creating reports, organizing office schedules and monitoring supplies.
- Assist with Suspension and Probation appeals; expire and add holds as appropriate, and update max number of credits in Banner. Run reports for closed cases in Navigate.
- Process and maintain requisitions for the Advising and Retention Services.
- Maintain departmental records.
- Assist Coordinator of Academic and Transfer Advising with data entry for Advisor Assignment process. 6.
- Organize all data for new Student Registrations including; materials needed, room reservations, staffing schedule, student documents for registration preparedness.
- Assist with coordination of Advising, Transfer and Retention events including but not limited to; room reservation, video conference setup, and materials needed.
- Conduct outreach to students prior to registration, determine appropriate referrals based on missing information required to attend registration event, registration support, enters relevant registration data into Banner/Navigate, run registration reports for registration advising.
- Process and maintain RFE's for all part time and seasonal employees in the Student Support and Advising Center.
- Hire and supervise part time clerical support and work study students.
- Utilize Banner, Access, Excel, Word and Navigate for office functions.
- Assist students in the use of campus portal (My North Shore/Navigate).
- Compile and analyze statistical data from Banner, Cognos and Navigate reporting results to the Coordinator of Academic & Transfer Advising and Director of Advising & Retention.
- Liaison with other college departments to coordinate team efforts for registrations and special events. 15. Attend Student Support and Advising Center department meetings and other college committees as needed.
- Other duties as assigned.

Job Requirements
- An associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a max of one year of the required experience
- Experience in records management.
- Experience within a customer services environment.
- Excellent computer technology skills including proficiency in Banner Student Information Systems, Microsoft Word and Excel, and the capacity to learn new technologies quickly.
- Excellent organization skills; ability to work well in a multitask environment and to plan, prioritize and forecast multiple tasks on a schedule with minimal supervision.
- Ability to train and create training materials as needed.
- Excellent written and oral communications skills.
- Excellent interpersonal skills with the ability to promote teamwork among staff as well as interact with faculty, staff, the public and outside agencies.
- Successful experience interacting with culturally diverse populations.
- Must be able to travel between college campus locations.
- Candidates will be required to pass a CORI/SORI and/or a National Background check as a condition of employment.
PREFERRED Qualifications
- Experience in Admissions, Financial Aid, Registration and Student Accounts or Student Services at a community college
- Bi-lingual in Spanish
