Job Description

The Oregon Department of Justice is seeking an organized and dependable candidate to hire as a General Support Specialist (Office Specialist 2) to support the Consumer Protection Section of the Civil Enforcement Division. Our ideal candidate will have outstanding customer service and data entry skills, as those duties make up a majority of the role. Duties also include providing support to section Attorneys and Consumer Complaint Specialists with general office duties, which include – but are not limited to – reception, mail processing, data entry, and general clerical tasks.

This position is based out of Salem office, Monday – Friday 8am – 5pm.

Job Duties (in Part)

  • Respond to consumer hotline emails and voicemails.
  • Assist with calls and responds to overflow calls when call volume is high.
  • Monitor for and report to the Consumer Advocacy Manager about trending issues arising on the hotline.
  • Enter complaint information into the database and assigns each matter to a Complaint Specialist for review of the complaint and for further action.
  • Prepare a large volume of documents in an electronic format and uploads to the document management system (Alfresco).
  • Check accuracy of scanned originals against electronic copies.
  • Link digital file to Matter Management System. Ensures a document link is correctly established between the Matter Management System and the network folder for each consumer complaint allowing for electronic storage of all files, Corresponds directly with other State Agencies, consumers and businesses regarding complaint files.
  • Work with management and team members to establish policies and guidelines to ensure accurate, complete and efficient workflow between the intake unit and the Complaint Specialist
  • Independently review and open all consumer files on the computer in the Matter Management System.
  • File, organize and store all documents in assigned Consumer Complaint Specialist’s electronic folders, ensuring confidentiality of records.
  • Assume responsibility for completing other duties as needed and requested by the Consumer Advocacy Manager, Hotline Coordinator, or the Complaint Specialists.

Required Experience

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents.

OR

  • An associate degree in any field.

OR

  • An equivalent combination of education and experience.

Work experience is based on a 40-hour work week. (Example: 20 hours a week for one year would equal six-months of work experience.)
