Alumni & Stakeholder Engagement has an exciting opening for an Alumni Tours Coordinator. This is a part-time, temporary position.


The Alumni Tours Coordinator will be responsible for a variety of administrative tasks and clerical projects in support of the general operation of the Alumni Tours program, which offers University of Washington alumni and friends lifelong learning opportunities to travel to fascinating destinations around the globe.


What You Will Do:


  • Process tour reservations in the travel program database and send out electronic confirmation packets.
  • Track and process passenger information and liability release forms; follow up with travelers to acquire missing information.
  • Request and process traveler biographies and photos; edit, if needed, to ensure proper grammar and content; crop photos and accurately upload them to the traveler record in the travel program database.
  • Prepare, gather and mail trip information materials for each tour.
  • Create and distribute tour evaluations and gather travelers’ testimonials.
  • Assist with updating and maintaining traveler information in both the travel program database and the UW Advancement database.
  • Assist in gathering and preparing materials and reports for host briefings.
  • Assist with keeping the Alumni Tour’s website accurate and up-to-date.
  • Assist with travel merchandise inventory maintenance and reconciliation.
  • Assist with the program’s e-mail account and web inquiries. Compose email communications to travelers and respond to tour inquiries.
  • Assist the director, when needed, on a project-related basis.
  • Support the University’s commitment to diversity, equity, inclusion, and belonging (DEIB) What You Bring:
  • Experience with Microsoft Office Suite, managing information, and working within a database.
  • Demonstrated organizational ability and strong attention to detail.
  • Strong written and verbal communication skills with a customer service mindset.
  • Ability to take direction, work independently, and handle multiple projects efficiently and effectively.
  • Demonstrated ability to maintain and protect confidential information. Minimum Requirements:
  • High school graduation or equivalent AND three years of experience in office or administrative support experience. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. What You Can Expect:
