Job Description:

The Development Coordinator is a critical member of the SIS Advancement Team. Reporting to the Assistant Dean of Advancement, the Coordinator will support fundraising and alumni engagement for SIS through a range of administrative functions. The primary focus of this position is to support team operations through administrative excellence and thoughtful engagement with members of University Advancement and the School of International Service. This position must understand how to productively engage in a higher-ed advancement setting, and specifically, how to work well with the School of International Service. The Development Coordinator reports to the Assistant Dean of Advancement for SIS.

Essential Functions

  • Administrative Support
  • Provide administrative support for the Assistant Dean of Advancement and the Director of Development by maintaining calendars, coordinating travel arrangements, submitting reconciliations, creating briefing materials, and entering actions.
  • Provide meeting and logistical support for the Dean’s Board of Advisors by coordinating meeting dates, preparing necessary materials, helping with board member requests and travel arrangements, keeping meeting minutes, distributing new member letters and welcome packets.
  • Ensure all promotional materials are up to date and coordinate material creation with the appropriate partners across Advancement.
  • Event Support and Alumni Engagement
  • Support the planning and execution of SIS Development focused events and engage face to face with alumni attendees.
  • Events include, but are not limited to, Parent’s Weekend, Alumni Weekend, President’s Circle Dinner, Scholarship Luncheon, Global Leadership Dinner, Dean’s Board of Advisor meetings, Faculty Book launches, and Local Donor Events.
  • Prepare event briefings for the Advancement team and SIS Dean, coordinating with the Asst Dean on VIP needs and seating, and manage appropriate Thank You’s and Follow Ups.
  • Prospect Research and Data Management
  • Under the supervision of the Asst. Dean, perform prospect research to enhance accuracy of information in the advancement database (CRM) and inform the major gift pipeline for SIS.
  • In accordance with SIS and Advancement communication plans, generate list requests and fulfill alumni and donor list requests from other units, ensuring data integrity, proper use of donor lists, and adherence to standards set by the SIS Development office and the SIS departments.
  • Stewardship
  • Generate gift acknowledgement letters on behalf of the SIS Dean, Development Officers, and provide notification of new gifts to appropriate offices and department heads, and monthly gift reports to select departments.
  • Provide support for the coordination of major gift stewardship activities.
  • Team Activities
  • Participate as an active, contributing member of Advancement and the School of International Service, building relationships with colleagues across the University and helping to build a positive and collaborative environment.

Salary Range

  • $24.18-$29.12 per hour.

Position Type/Expected Hours Of Work

  • 35 hours per week.
  • Occasional night and weekend work required.

Required Education And Experience

  • Bachelor’s degree or equivalent experience.
  • Ability to work independently and as part of a team; approach individual responsibilities with integrity and develop trusting and collaborative relationships with colleagues and alumni.
  • Excellent organization and time management skills, written and verbal communication skills, interpersonal communication skills, and strong attention to detail.
  • Ability to prioritize tasks and plan appropriate use of resources in order to meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and database management.
  • Demonstrated interest in the academic and work cultures of American University and the School of International Service.

Preferred Education And Experience

  • Experience in higher education or nonprofit fundraising, awareness of donor cultivation cycle.
  • Familiarity with customer relationship management software, knowledge of gift processing procedures, research, and data management.
  • Demonstrated interest and experience in higher education, program management, non-profit fundraising.
  • Volunteer management, marketing, and fundraising experience.
  • Knowledge of American University's School of International Service programs, professors, and alumni.

Additional Information About The Position

  • Ability to commute and work from AU’s Advancement Office, AU’s main campus, and occasional offsite locations around DC, and work from home on an as-needed basis.
