PURPOSE:

This position is responsible for providing forward-thinking, high-level administrative support to the Officers and Executive Staff, playing a key role in advancing Union priorities and ensuring seamless office operations. The role requires strong judgment, confidentiality, and professionalism, while proactively managing tasks that facilitate key programs and projects. Building positive and productive relationships is essential to effectively supporting leadership and driving organizational goals.

  ●     Manage complex, dynamic calendars for Officers and Executive Staff, ensuring alignment of personal and business schedules to maximize productivity and support key initiatives.

     Collaborate on critical projects, assisting with coordination, tracking progress, and driving completion of executive priorities.

     Design and produce high-quality reports, documents, and presentations that support executive communications and decision-making.

     Gather and organize relevant information and materials for meetings, conferences, and presentations to support the executive team’s strategic objectives.

     Handle travel logistics, itineraries, and expense reports with precision and adherence to budgetary guidelines.

     Manage highly sensitive matters and communications with discretion, ensuring that all confidential information is handled with the utmost care.

     Act as the primary contact for both internal and external stakeholders, fostering positive, productive relationships that reflect the professionalism and values of the Union.

     Anticipate needs and challenges, offering proactive solutions to keep programs and projects moving forward. Exercise sound judgment in determining appropriate actions, referrals, or responses based on executive preferences and Union policies.

     Ensure all duties are performed with a commitment to equity and a racial justice lens, contributing to an inclusive and just organizational culture.

     Performs other duties and special projects as assigned in support of the program.

Additional Responsibilities:

  ●     Support the preparation of materials for meetings and presentations for the International Executive Board, Executive Committee, Officers, and Union-wide committees.

  ●     Carry out other duties and special projects as assigned, with a focus on supporting the Union’s mission and advancing key programs.

Skills and Qualifications:

  ●     Demonstrated ability to manage multiple priorities and deadlines, often under pressure.

     Strong written and verbal communication skills, with the ability to convey information clearly and professionally.

     High level of proficiency in administrative functions, including calendar management, travel coordination, and document creation.

     Proven ability to anticipate needs, think critically, and proactively offer solutions.

     Ability to build and maintain positive relationships with internal and external stakeholders.

  ●     Capacity to handle confidential and sensitive information with discretion and professionalism.

DIRECTION AND DECISION MAKING:

This position reports to the Managing Director of the Executive Office and must often work without supervision.

EDUCATION AND EXPERIENCE:

A minimum of three (3) years of related work experience OR a combination of education and experience that would provide for the following knowledge, skills, and abilities:

     Outstanding writing, verbal, and analytical communication skills;

     Knowledge of labor unions and their operation;

     Skill in the use of Microsoft Office and Google Suite  programs;

     A high level of judgment, ability to take initiative, and work independently;

     Ability to work with diverse group of SEIU leaders, SEIU members, and staff in complex and political situations;

     Ability to exercise limited independent judgment and make decisions in consultation with peers or higher-level managers

     A high level of curiosity about SEIU and social/economic justice movements;

     Passion for improving the lives of SEIU members and working people everywhere;

     Ability to model consistently the vision and values of the union, as well as our leadership standards;

     Must be able to handle multiple, complex, projects simultaneously and meet established deadlines.

PHYSICAL REQUIREMENTS:

Work in this position will generally be performed in an office setting. However, the job may require work in other settings conducive to performing the tasks required to complete assignments. Must be available for travel, including overnight stays. Travel and work beyond traditional business hours is required.
