We are seeking a highly organized and detail-oriented individual to fill the role of Library Circulation and Systems Coordinator. This position plays a crucial role in supporting the daily operations of our library's circulation functions and the integrated library system (ILS). The ideal candidate will have a strong background in library operations, customer service, and technology, with a passion for facilitating access to information and resources.
General Description
Under limited supervision, this position fosters friendly and efficient customer service by researching, implementing, and coordinating new and existing user services, supporting ongoing maintenance and changes to the Integrated Library System (ILS) and other operational tools, and supporting staff via training and the development of procedures. This position reports to the Operations and Patron Experience Manager. This position is represented by the Washington Public Employees Association/ UFCW local 365.
Qualifications And Experience
Associate's degree in Library Science, Information Science, or a related field from an accredited institution, plus three years of front-line public library experience, including library circulation operations and systems management, required. Strong understanding of integrated library systems (ILS). Experience in data and project management preferred. Bachelor's degree preferred.

Employees regularly scheduled 20 or more hours per week are eligible to participate in our medical, dental, vision, basic life, AD&D, long term disability insurance plans, health reimbursement arrangement (HRA), as well as our employee assistance program. Additionally, full-time employees earn 15 days of vacation leave, 13 days of sick leave, and 1 personal day each year.
Kitsap Regional Library participates in the Washington State Public Employees Retirement System (PERS). Employees are automatically eligible for the plan if they work a minimum of 16.25 hours per week (or 70 hour per month) during five months per year for two consecutive years.
Compensation range is $27.94 - $38.68 per hour DOE. Offers to new employees are expected to be between
$27.94 and $32.45 depending on required and relevant experience and in alignment with internal equity.
Essential Functions
Any of the following duties may be performed. These examples are representative and do not include all specific tasks an incumbent may be expected to perform:
Duties
- Research, analyze, evaluate, plan, test, troubleshoot, design, and implement ILS interfaces and services. Perform maintenance of databases and tables. Write reports and scripts.
- Participate in the ILS community, building strategic relationships with other users of the ILS. Coordinate with other Library departments in planning, developing, and maintaining efficient workflow among departments, branches, and divisions.
- Monitor patron emails, notices, and online registrations. Manage ongoing patron data removal processes.
- Develop scripts and talking points for staff to deliver to patrons regarding system policies and procedures.
- Monitor and participate in ongoing tasks associated with broader partnerships such as school district student account data sharing.
- Regularly evaluate and make recommendations on changes to circulation policies and procedures to Library Leadership. Thoughtfully communicate changes to frontline staff members.
- Elevate staff proficiency by providing ongoing training on future and present Public Services applications such as Leap, Bibliocommons, LibCal, LibAnswers and Printing/Computer Management.
- Provide support to all branches and departments on hardware and software issues, application processing, report issues and requests. Provide timely initial response and resolution to user requests for support.
- Maintain and document application configuration and changes, including various modules and interfaces. Monitor and report statistics from library applications and Web site traffic.
Additional Duties & Responsibilities
- Analyze and research technology issues for potential implementation according to needs and budget of the library. Provide cost and time estimates for network/system integration projects.
- Establish and maintain effective vendor relationships for providing equipment, maintenance, and knowledge to ensure support of the library's technology hardware and software.
- Support data collection for ongoing statistics and various projects, as assigned.
- Provide support for system initiatives and projects, as assigned.
- Position may involve some evening and weekend shifts based on the library's operating hours.
- Perform other related duties as assigned.
Knowledge, Skills And Abilities
- Ability to maintain regular and reliable attendance.
- Knowledge of and experience using an Integrated Library System (ILS), preferably Innovative Interface's Polaris.
- Knowledge of library data, including bibliographic record structures and core library operations, such as circulation, cataloging, and discovery.
- Knowledge of database architecture, record structure, and Boolean logic in creating queries.
- Strong knowledge of applications software such as MS Office Suite applications, Adobe Acrobat, Internet Explorer and specialized library applications.
- Ability to learn branch and departmental functions and needs, process improvement techniques and creativity to optimize systems.
- Ability to effectively organize workload, self-motivate, adapt to changing needs and direction and to support team decisions.
- Ability to coordinate and implement projects on-time, on-budget and within scope.
- Ability to communicate effectively and professionally verbally and in writing.
- Ability to establish and maintain effective working relationships with vendors, patrons, and library staff.
- Ability to maintain skill levels in a fast-changing environment.
- Ability to learn the functionality of all primary library applications.

Most of the work is carried out within a generally accessible, safe, indoor environment. While performing the duties of this job, the incumbent must be able to communicate with patrons and co-workers, as well as identify and organize library data based on small-print numbers and alphabetical characters; and operate computers for extended periods of time.
An incumbent must occasionally move objects or materials weighing up to 35 pounds.

SCHEDULE
This is a full-time exempt position scheduled for 40 hours per week. The schedule will be determined by the supervisor upon hire and may include weekends and evenings. Please note that schedules are subject to change to meet the needs of the library.
