Major Duties And Responsibilities

  • Performs general secretarial and clerical functions (e.g. scheduling, copying, faxing, data entry, filing, etc.) for the purpose of supporting site operations:
  • Promotes positive public relations for the school and district, serves as a receptionist, greeting students, parents, staff, and the public in a friendly and helpful way
  • Is responsive to all inquiries whether in person or on the phone
  • Answers or refers telephone and in-person inquiries; takes messages as needed;
  • Assists with tracking student and staff attendance, as needed
  • Supports school-wide mailings and other distribution of forms, information to students and families
  • Maintains a variety of files and records as assigned and in an organized manner, such as student lists, daily bulletins, building usage, orders, enrollment records, bus and emergency information, and a wide variety of other files and records as assigned
  • Types forms, form letters and other documents as required at acceptable levels of speed and accuracy; collates and photocopies materials as necessary; maintains supply of forms and charts as needed
  • Receives, sorts and distributes mail within the office; files correspondence and other materials as required
  • Prepares, processes, and tracks requisitions in coordination with the district’s business office and maintains a working knowledge of the school’s budget lines including postage
  • Distributes student work permits as needed
  • Provides clerical support to other members of the school leadership team as needed
  • Collaborates with other members of the school secretarial team to ensure successful completion of administrative goals and tasks
  • Other duties as assigned

Job Requirements

  • High School diploma or equivalent
  • Have a minimum of two years of successful experience in a related secretarial or office position
  • Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, First Class, Mac, Aspen SIS (or ability to learn), and other software
  • Ability to establish and maintain a positive and professional relationship with co-workers, students, parents, staff and visitors; cultural sensitivity and ability to relate well and effectively in diverse workplace and with a diverse client population
  • Ability to operate and trouble-shoot general office equipment (e.g., copier, fax, calculator, etc.)
  • Bilingual candidates and candidates of color strongly encouraged to apply
  • Second language (Spanish and/or Portuguese) proficiency a plus
  • Current authorization to work in the United States
