Organization and Position Summary
The Utah Education Association is the largest public education employee association in Utah, representing about 18,000 active classroom teachers, retired educators, administrators, licensed education-related service providers and campus student organizations. Under the primary direction of the general counsel and Legal Services director, and as part of a dynamic team, this position provides confidential and administrative support to UEA’s Legal Services program and the office of the general counsel. This position will also be utilized for supporting confidential processes within the human resources and finance departments This position is based at UEA Headquarters in Murray, UT, with some potential for hybrid work flexibility after successful completion of a minimum six-month provisional period. This position reports to the UEA governance support and administrative director.

Essential Functions
- Cultivate positive relationships through frequent interactions with members receiving legal services, field staff, and outside attorneys in person, by email and by telephone;
- Respond to member/client inquiries providing accurate information and other assistance;
- Contact clients and outside counsel for case status and scheduling purposes;
- Manage the general counsel's calendar, deadlines and to-do list;
- Regularly update, organize, and maintain electronic and paper case files and review regularly to prioritize cases that needed attention;
- Prepare, draft, and finalize correspondence and legal forms to maintain seamless communications with members and outside counsel;
- Collaborate with field staff and other appropriate staff to maintain membership records as appropriate to continue to receive legal services;
- Document billable hours, prepare and maintain the legal budget, and maximize legal reimbursements, using NEA's legal case management system and UEA disbursement processes;
- Proofread documents and work with other staff or governance to draft or update policy, procedure, or other organizational documents;
- Support personnel related processes that could include staff hiring, onboarding, benefit enrollment, payroll, tracking leave, etc.
- Support multiple committee meetings, workshops, and conferences with setup of meeting space, preparing materials and refreshments, taking meeting minutes, and participating as necessary;
- Observe confidentiality and extreme discretion;
- Read, sort, date and route incoming electronic or physical mail;
- Some in-state travel, and possible out of state travel;
- Some evening and weekend work, with occasional overtime;
- Telephone and in-person reception of visitors/clients;
- Receive and maintain Certificate of Authority as a Utah Notary Public;
- Manage other duties as assigned; and
- Reliable transportation to and between work location(s) is required.
Preferred Qualifications:
- Bachelor’s degree or other related licensing; or three or more years recent experience performing comparable duties, including some legal experience, human resource experience and accounting or bookkeeping practices;
- Exceptional attention to detail;
- Excellent computer skills including knowledge of Microsoft applications; ability to learn and utilize other databases or software;
- Editing and business writing skills;
- Ability to handle multiple priorities and meet deadlines through frequent interruptions;
- Self-direction and excellent interpersonal and judgment skills;
- Commitment to discretion and confidentiality.
