The UW Bothell Office of Diversity, Equity & Inclusion has an outstanding opportunity for a Program Coordinator (NE S SEIU 925 Non Supv) to join their team.


The Program Coordinator for the University of Washington Bothell Office of Diversity, Equity & Inclusion will provide support to the Executive Assistant to the Associate Vice Chancellor for Diversity, Equity & Inclusion, as well as the Office of DEI, with complex operational processes and tasks connected to the work of both the AVC and the Office of DEI, including supporting the coordination of meetings, communications with campus partners, recordkeeping and file management, and other administrative projects. This position serves as one of the primary contacts for the Office of DEI.

This position assists the Executive Assistant to the AVC in gathering information to make informed decisions and ensure efficient operation of the Office of DEI. This position must be resourceful, exercise tact and discretion, and operate with a high level of attention to detail and proactivity in all responsibilities associated with the Office of DEI’s work. This position is an important part of the successful process and project coordination, organization, and operational flow of the Office of DEI.


DUTIES AND RESPONSIBILITIES

Administrative support:

  • Represent the Office of DEI in communications with both internal and external stakeholders, including students, staff, and faculty, by phone, by email, and in person
  • Serve as a resource to the Office of DEI regarding departmental and university policies, procedures, and processes
  • Coordinate agendas, minutes, meeting requests, and room reservations for the Office of DEI, as requested
  • Provide event support as needed, including reserving spaces, purchasing supplies, and supporting day-of tasks
  • Draft communications for campus distribution on behalf of the Office of DEI as directed and manage subsequent correspondencesOperational support:
  • Support the organization, reconciliation, and compliance of the Office of DEI’s fiscal processes and projects, working collaboratively with other related departments as needed
  • Assist with the preparation of fiscal paperwork, including purchase requests, sole source documentation, food approvals, miscellaneous payments, and contract services
  • Assist with the reconciliation of departmental budgets, including pursuing and resolving issues
  • Assist with the making of departmental purchases, processing orders and invoices, communicating with vendors, and tracking expenses
  • Assist with the processing of reimbursements for travel and other reimbursable expenses
  • Assist with the maintenance of the Office of DEI’s website, other digital communication platforms, and related lists of contacts, working collaboratively with other related departments as needed.Project support:
  • Support the onboarding process of new employees, including organizing workspaces, purchasing required equipment and materials, and coordinating with Organizational Excellence & Human Resources and other related departments as needed
  • Support the recruitment process of potential candidates, including preparing requested OEHR materials, communicating with potential candidates, and coordinating with OEHR and other related departments as needed.Other duties:
  • Perform other duties as assigned MINIMUM REQUIREMENTS
  • High school graduation or equivalent AND two years of experience in administrative or financial support OR equivalent education/experience. ADDITIONAL REQUIREMENTS
  • Demonstrated ability to initiate, evaluate, and make recommendations about departmental processes and procedures
  • Demonstrated ability to organize and manage multiple competing priorities
  • Demonstrated ability to exercise a high degree of discretion, independent judgment, and resourcefulness when resolving issues
  • Strong interpersonal skills; must be able to work both independently and within a highly collaborative team environment successfully
  • Strong communication skills; must be able to communicate and work responsibly and respectfully with both internal and external stakeholders, including students, staff, and faculty
  • Experience with programs such as, and/or related to, Microsoft 365 and Zoom DESIRED QUALIFICATIONS
  • Knowledge of the University of Washington or experience within a higher education environment
  • Experience with programs such as, and/or related to, Adobe, Canva, Mailchimp, Workday, and WordPress
