POSITION PURPOSE

The position supervises staff, operations and residential services at the regional desk which is the hub for serving students living in all west campus residential communities.


Duties And Responsibilities


  • Serve as a point of inquiry for customers, residents and guests for department procedures, policies, services, events and activities.
  • Supervise staff; Interview and recommend selection of applicants, conduct training, assign and schedule work, act upon leave requests, conduct annual evaluations for contract-classified staff and recommend corrective action.
  • Coordinate training program for classified and student staff, including planning, developing resources, documenting and facilitating individual and group training sessions.
  • Coordinate desk functions with the Student Services Office, Custodial Services, Food Services, Conference Services and Residential Life.
  • Supervise multiple office functions to ensure consistency and continuity.
  • Maintain appropriate files and records, including floor charts, key records, check-ins, checkouts, room and hall changes, no-shows, vacates and conference parking.
  • Prepare and maintain correspondence, reports, forms and other communications necessary for effective desk operations.
  • Review desk related expenditures and maintain supporting documentation.
  • Maintain the key, sales, supply and equipment inventories for assigned areas.
  • Manage key inventory and building access to ensure building security and resident safety; Manage door schedules.
  • Submit and track work orders for lock changes, key replacements and building maintenance.
  • Develop, implement and maintain policies and procedures necessary for effective desk operations.
  • Ensure that staff are updated on new and revised policies and procedures that impact desk operations.
  • Monitor HFS systems and web content that relate/refer to Desk Services.
  • Participate in unit and Department events and on unit, Department and campus committees and teams as assigned, including process improvement initiatives and capital projects.
  • Provide coverage for other residence hall desks as needed. POSITION DIMENSIONS/COMPLEXITIES The position requires extensive involvement with students and the public by supervising resident check in and checkout, delivery of mail and packages, control of the key and building access systems, including checking keys in and out to students living in residence and staff and visitors using the public facilities. The regional desk includes a point of sale for cash transactions.The position is responsible for supervising the staff that provides direct service to students, staff and guests. This includes orientation and training that allows staff to operate within a complex system of policies, procedures and housing agreements. The complexity is based on having three distinct types of housing, a diverse customer base and three distinct housing agreements. SUPERVISORY RESPONSIBILITIES 7-12 FTE’s, comprised of up to 2 contract classified staff and 20-30 student assistants. MINIMUM REQUIREMENTS High school graduation or equivalent and three years of experience in a residential services, hospitality, business operations or related environment, providing direct customer service to internal and external customers and guests OR equivalent education/experience DESIRED QUALIFICATIONS
  • Bachelor’s degree AND four years of responsible supervisory, administrative and customer service experience in a related field.
  • One year of experience leading or supervising staff.
  • Two years of experience working in a fast-paced, complex, customer service environment.
  • Interpreting and explaining complex policies and procedures to a wide audience.
  • Excellent oral and written communication skills with a diverse population.
  • Working both independently and as an effective team member.
  • Staying focused and demonstrating positive attitude, particularly during peak volume times.
  • Problem solving and prioritizing workload to achieve unit goals.
  • Identifying and implementing process improvements to enhance unit efficiencies.
  • Proficiency with PC’s including Microsoft Office Word, Excel and Outlook, databases and the Internet. CONDITITONS OF EMPLOYMENT
  • A satisfactory outcome from criminal background verification is required prior to hire.
