About the Position:
The College of New Jersey's Office of Human Resources is seeking detail-oriented and highly organized administrative professionals to serve as a Human Resources Office Assistant. Under the direct supervision of the Talent Acquisition Manager and other lead/supervisory personnel, the selected candidate will provide general administrative support for the Office of Human Resources, including but not limited to, preparing correspondence, maintains office calendars and scheduling, works on special projects, maintains employee files, and arranges programs and events . The selected candidate will oversee all front desk operations, which includes greeting and providing assistance to all candidates, students, staff, faculty, and all external customers of TCNJ that visit Human Resources. They will also be responsible for managing all HR related inquiries via phone, the HR Portal and the HR Mailbox, which includes responding to basic inquiries, routing complex matters to the appropriate staff member, and following up for completion. Superior customer service skills and the ability to maintain multiple priorities in a high volume administrating setting are essential for this role.
Main Responsibilities:
- Serves as the primary resource for all front desk operations such as distributing mail, greeting and welcoming guests, and directing inquiries to the appropriate employee in the office.
- Oversees HR Portal inquiries, including reviewing all new tickets, responding to basic inquiries, and distributing and managing emails/requests for assistance. Follows up with employees to ensure timely completion of their ticket.
- Answers incoming phone calls, monitors voicemails, the general HR inbox and directs messages to the appropriate staff member.
- Assists with the coordination of HR sponsored events such as New Hire Orientation and the Open Enrollment Benefits Fair.
- Maintains and orders office supplies. Provides receipts to the Finance Department for credit card purchases.
- Completes employment verifications and forwards salary inquiries to the Payroll Department.
- Supports the Recruitment team with various tasks throughout the full cycle recruitment process, including, conducting background checks in Sterling, initiating and closing I-9s, conducting telephone reference checks, and providing candidates with information regarding the recruitment and onboarding process.
- Performs other related duties as assigned to complete organizational tasks.
- May provide direction and assign tasks to HR student workers.
Required Qualifications:
Education : Graduation from an accredited college or university with a bachelor's degree
.
Substitution : Applicants who do not possess the required education may substitute additional professional experience on a year-for-year basis with one year of such experience being equal to 30 semester hour credits.
Possession of an associates degree; and two (2) years of professional administrative experience may be substituted.

Preferred Qualifications:
- Proficiency with Microsoft and Google Suite is strongly preferred.
- Must be able to effectively communicate with employees and supervisors, outside agencies, and the general public. Demonstrated ability and experience providing excellent customer service, strong organizational skills, time management, excellent attention to detail, good written and verbal communication skills required.
- Must be proactive in matters related to all aspects of Human Resources.
- Demonstrated experience using independent judgment, initiative, and working with minimal supervision to coordinate competing priorities and complete work/solve problems as required.
- Ability to work with and maintain confidential information.
