Job Purpose:

The Production Coordinator collaborates with internal and external stakeholders to manage concert production and operations for PSO services at Heinz Hall and at remote venues. This position manages internal systems and processes, including support to orchestra personnel, and ensures PSO services operate smoothly and at a high level of artistic excellence.

Concert production:

  • Support the smooth day-to-day operations of rehearsals, performances, and institutional events
  • Work with other PSO departments and external vendors to produce concerts and communicate accurate concert information
  • Advance and execute concert production for designated PSO projects
    • Create and distribute key production documents
    • Review and ensure fulfilment of technical/production riders, serving as primary contact for select touring groups performing with the PSO
    • In collaboration with House Electrician, design lighting for designated PSO productions
  • In collaboration with the Senior Manager of Orchestra Operations and the Heinz Hall Technical Director, identify additional concert production staff and crew needs
  • Assist Senior Manager of Orchestra Operations in scheduling load-ins and load-outs. Create and communicate schedules to the local trucking company
  • Produce/acquire production elements such as slides, backdrops, props, video, audio, and costumes
Offsite concerts and touring:

  • Create and communicate advance materials for PSO performances outside of Heinz Hall as assigned
  • Perform site visits to local venues and manage concerts at off-site venues as assigned
  • Support certain aspects of tour planning, such as the creation of electronic tour forms, stage plots, run sheets, sign-up forms, and coordination of busing and trucking

Operations and personnel:

  • Provide support to internal systems and processes in the Orchestra Personnel department, including attendance records, media payments and reporting, administrative support for orchestra auditions, and ensuring proper working conditions for the orchestra
  • Assist with digital licensing paperwork and payment tracking
  • Identify costs on designated projects to support budget forecasting. Monitor spending on designated projects and prepare invoices for approval
  • Maintain thorough knowledge of collective bargaining agreements with the AFM and IATSE
  • Participate in Manager on Duty and Personnel on Duty rotations
  • Other duties as assigned

Necessary skills, experience, and qualifications:

  • Bachelor’s degree in music, theatre, or arts administration
  • At least one year of experience in the performing arts, or equivalent combination of education and/or training and experience
  • Ability to work flexible hours, particularly weekends and evenings
  • Must be able to travel when assigned
  • Proficiency in MS Word, Excel, PowerPoint, Visio, Outlook, Teams, and desktop publishing
  • Outstanding communication skills with the ability to maintain trust and confidentiality
  • Highly self-motivated and demonstrated aptitude for multitasking, adaptability, and attention to detail
  • Desire to learn and contribute to team by supporting others

Desirable skills, experience, and qualifications:

  • Proficiency in OPAS database
  • Knowledge of orchestral repertoire

Compensation and Location:

This is a full-time, exempt position with an annual salary range between $43,000 - $48,000 depending upon experience. We also offer a comprehensive benefits package which includes generous paid time off, employer paid health benefits, and a 401(k) retirement plan with employer contributions. Heinz Hall in downtown Pittsburgh is the work location for this position. Success in this position requires local presence and relationship building. The PSO supports a flexible, hybrid work environment, which currently includes three days per week in-person work, including occasional work on weekends and evenings during PSO and Heinz Hall concerts or events.
