Purpose

The Logistics Liaison will be a member of the Support Services Center (SSC)/Facilities Team under the direction of the Facilities Director with the primary responsibilities of organizing the inventory and goods, distribution of items pertaining to events, day-to-day operations, meetings & conferences, managing suppliers of events and ensuring the quality of delivered services (Site Inspections) extracting, monitor SEIU inventory and shipments, engage in regular communication with vendors, staff, members and partners, maintain accurate and consistent records, address errors and concerns and manage inventory databases. This person will manage projects and provide critical support and decision-making in partnership with a broad spectrum of individuals across the organization to make a meaningful impact on the union.

Location: Chicago, IL (Onsite Work Schedule)

Duties And Responsibilities

  • Support collaborative union culture by exemplifying our HCII’s MVV and Leadership Practices
  • Coordinate Travel arrangements, using Concur, for staff and members in partnership with Finance dept
  • Understand Union and Facilities policies, procedures, and enforcement as applicable
  • Plan and assist with unionwide meeting scheduling, and related communication and logistics
  • Responsible for setting up A/V, technology, supplies, equipment, and spaces for meeting preparedness.
  • Coordination and collaboration with other administrative support staff across Local
  • Maintenance of FedEx account and ensure the accuracy and timeliness of orders and shipping documents
  • Maintain the Facilities department Inventory System, including receiving orders and adding to inventory
  • Create and implement effective and efficient systems and processes
  • Provide logistic administrative support to Strategic Support Teams throughout the Union
  • Assist with other clerical, administrative, and logistics duties as needed

Scope And Nature Of Supervision

The Logistics Liaison must be able to organize their time and develop and carry out plans with minimum supervision. Success includes having a can-do spirit and being able to receive direction from and interact with their immediate supervisor and others, as necessary. This person must be able to lead multiple projects simultaneously from start to completion and collect information and data and be able to make assessments and recommendations to the Director on systems and processes.

Working Conditions

The Logistics Liaison is expected to be available during the regular work week but may be required to work long and irregular hours, with notice, including on weekends and holidays, when needed. This is an onsite position, with informal remote workdays. Flexibility is needed to support the needs of the Local. Physical demands associated with this position include extensive walking, lifting, & carry of weighted supplies and materials up to approximately 30 pounds. Periodic In-state and out-of-state travel is required.

  • Ability to develop and carry out work plans with minimal supervision.
  • Ability to balance conflicting demands successfully to complete duties in a broad range of areas and to carry out assigned and required tasks competently and professionally.
  • Comfort using common logistics management software.
  • Demonstrated strong service capabilities.
  • Exceptional verbal communication including the ability to relate well with others and ability to adapt style as needed to all levels of the organization.
  • Intermediate knowledge of Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and Internet.
  • Demonstrated Ability to create spreadsheets for analysis and reports for presentations.
  • Ability to learn and adapt to new and on-going changes in technology.
  • Knowledge, and/or experience with project management, creating and monitoring systems, knowledge of HR and Finance policies, and inventory management are beneficial.
  • Valid Driver’s License required.
  • Bilingual English/Spanish is a plus.

Salary And Benefits

  • Starting Salary range is between $64K-74KK. Salary/compensation is competitive and commensurate with experience. Benefits included.
