Job Summary: Opportunity to join the production department with the ability to learn and develop business affairs / production skills. In partnership with other agency stakeholders, be a part of the integrated content production process across the IPG Health client roster for small scale production projects.
Essential Functions:
- Business Affairs Support:
- Work with Business Affairs Managers to help prepare production documents.
- Production Strategy:
- Review creative for production projects for assigned clients.
- Project Management:
- Manage projects from concept to completion for all business affairs related responsibilities.
- Production Financial Management:
- Manage vendor relationships for contracts and billing requirements.
- Intro to Talent:
- Opportunity to learn SAG-AFTRA contracts and nonunion guidelines.
- Resource Management:
- Maintain timely & accurate reporting of production projects and time reporting.
Job Duties & Responsibilities:
- Business Affairs Support:
- Support Business Affairs Managers to prepare purchase orders, insurance declarations.
- Manage new vendor set up and vendor payment inquiries.
- Production Strategy:
- Work closely with Production, Account Management, and other internal partners to manage assigned production projects from conception through final delivery with guidance from Business Affairs leads.
- Review creative materials at all stages to advise production and talent requirements.
- Identify, manage, and communicate potential legal issues during the production process such as copyright and intellectual property rights clearance.
- Advise colleagues on client/agency guidelines and best practices.
- Project Management:
- Effectively manage small scale production upon assignment. Projects may consist of award shows, internal client videos, social posts, internal studio projects and other beginner friendly production projects.
- Ballpark costs with Producers to gauge client feasibility for production projects.
- Partner with Producer to ensure project is on time and on budget based on specs and confirmed deliverables.
- Review casting/talent/production specs to ensure alignment with creative, deliverables and client and agency guidelines.
- Review and negotiate vendor bids and agreements with Producer.
- Manage stock music licenses.
- Create and issue award documents including vendor purchase orders, insurance, licensing, and other production related agreements.
- Production Financial Management:
- Manage all finances related to production, including creation and reconciliation of estimates, vendor PO and invoice management, payment inquiries and job status maintenance.
- Communicate with Producers, Account Teams, & Finance to actualize & close jobs and manage client accruals on projects as needed.
- Intro to Talent:
- Learn the rules and regulations of the SAG-AFTRA Commercials Contract, SAG-AFTRA Co/Ed Contract and nonunion talent implications.
- Consult with Talent Management on project talent requirements.
- Resource Management:
- Utilize multiple platforms to perform daily tasks in addition to managing & updating internal tracking documents.
- Maintain shared server with all appropriate documents, including a detailed job jacket to be referenced for audits & billing questions from Agent and Client inquiries.
- Maintain accurate timesheets that are completed by required deadlines.
Knowledge & Skills:
- Working knowledge of an advertising agency production and billing processes.
- A commitment to learn the nuts and bolts of Business Affairs with a strong work ethic.
- Competent in software specific to the client and agency processes including Outlook, Microsoft Word, Excel, Teams, PowerPoint, etc.
- Strong written and verbal communication.
