Job Description

Summary:

Under the supervision of the Chair, the Sr. Administrative Assistant manages the administrative needs of the Department, serves as the assistant to the Chair, and provides administrative support to faculty, staff, and students within the Department. This position requires the ability to work independently to exercise sound judgment and tact in dealing with people, to maintain confidentiality with sensitive information and records and to work amicably as a member of a team. This position reports directly to the Chair of the Department of Justice, Law and Criminology. This position may supervise part time staff members or student workers.

  • Administrative Support
  • Provides administrative support to assist faculty, staff, and students with basic administrative functions.
  • Serve as the Chair’s assistant regarding all aspects of Department of Justice, Law and Criminology duties and academic responsibilities.
  • Duties include: filing and record-keeping; providing administrative support to faculty, staff, and students; drafting memoranda on behalf of the Chair; corresponding professionally with others inside and outside the university; responding to inquiries about the department; creating and maintaining spreadsheets tracking department budgets and expenses; processing travel and expense reimbursements; creating and maintaining databases; providing administrative support for comprehensive exams; and coordinating faculty searches.
  • Budget
  • Monitor the JLC departmental operating budget and credit card spending along with any internally restricted accounts monthly to ensure fiscal responsibility and compliance.
  • Work in cooperation with the SPA Budget team to process internal awarded staff, student and faculty accounts and awards.
  • Prepare requests and process approved orders of supplies and equipment requested faculty and students.
  • Create positions and initiate hiring, payroll, and termination actions for any student or part-time staff in JLC as needed.
  • Course Scheduling
  • Maintain Department of Justice, Law and Criminology class schedules including all changes in faculty, course, and enrollment information.
  • Assist with the preparation and implementation of the academic schedule.
  • Prepares status reports for the Chair and consult with department advisers regarding student needs and course requirements.
  • Maintain an up to date list of all courses being taught each semester, communicate with the SPA Faculty and Budget teams to ensure that all payments for teaching to adjunct and online course coordinators are set up before the beginning of each semester, and notify the SPA Faculty and Budget teams about any course changes that would affect payments throughout the semester.
  • Faculty Affairs
  • Maintain departmental files including office hours, curricula vita, scholarly and academic work by faculty, and computer databases to ensure that the files are kept in an orderly fashion.
  • Assist with the coordination of adjunct faculty selection and hiring. Support departmental recruitment and retention activities in coordination with faculty members and Dept. Chair. Maintain careful records of all faculty members within the department.
  • Other duties as assigned by the Chair.

Salary Range

  • $40,000-$45,000 annually.

Position Type/Expected Hours Of Work

  • Full time.
  • 35 hours per week.
  • Hybrid. (3-4 days per week on campus work required)

Required Education And Experience

  • Associate's degree or equivalent required.
  • 1-3 years’ experience in an office setting required, or equivalent in education and experience.

Preferred Education And Experience

  • Bachelor’s degree preferred.
  • 2-4 years of relevant experience preferred.
  • Experience in an academic setting preferred.

Supervisory Responsibility

  • The incumbent may manage student workers.

Knowledge, Skills, Abilities And Other Characteristics

  • Good written and verbal communications skills;
  • Effective interpersonal skills with the ability to resolve conflict professionally and amicably;
  • Outstanding organizational skills including the ability to set priorities and work in a dynamic environment under time pressure;
  • The ability to learn new tasks and skills quickly;
  • Experience with Workday preferred.
  • Excellent computer skills, including strong aptitude with Microsoft Excel or Google Sheets and the ability to use the Microsoft Office suite
