Function
Under general supervision, assist with routine administrative work; manage multiple phone lines with up to 100 calls per day; provide extensive computer work in Discovery, Access, Excel, Word and webpage maintenance; and answer questions from the general public, MPS staff and early childhood education agencies.
REPORTS TO: Office Manager, Early Childhood Education and ECS HHM Coordinator
Qualifications
- A minimum of two (2) years of experience in Communications, Journalism, Public Relations or Public
Education.
- Must possess excellent written and verbal communication skills.
- Must be able to travel between sites.
- Must be able to work two Saturdays per month and one evening per week.
- Knowledge of techniques in gathering and compiling data, and reporting findings.
- High level of technical computer skills; with knowledge of Discovery, Excel, Access and Word.
- Ability to maintain effective relationships with other employees and the general public.
- Thorough knowledge of clerical procedures and equipment.
- Ability to manage multiple phone lines.
- Ability to review and appraise proposals, programs and reports.
- Ability to make recommendations based on research and investigation, and on administrative problems and
procedures.
Essential Functions And Responsibilities
- Answer multiple phone lines, schedule children for early childhood screening, and check-in parents and
children at early childhood screening.
- Assist professional staff with routine administrative detail.
- Compose routine correspondence.
- Conduct preliminary research, compile information, and report findings on assigned subjects.
- Web page management.
- Extensive data entry, queries, and preparation of graphs and reports.
- Assist in preparation of state reports for screening and school readiness.
- Act as a liaison with community agencies, families and the general public to answer inquiries and provide
information on early childhood education resources, programs, activities and events.
- Assist in the placement of students in early childhood education resources, programs, activities and events.
- Provide general clerical support and departmental organization functions for the Early Childhood Education
Department.
- Maintain updated log of children who are staying at shelters.This will involve going to shelters on a scheduled basis.
Knowledge Of
- Applicable policies, procedures and regulations covering specific areas of assignment.
- Specialized MPS and state agency software applications and network operating environments.

- Business and personal computers, including spreadsheet, word processing, and database software applications.

License And Certification Requirements
A valid Minnesota State Driver’s License may be required. Specific technical training may be required for some incumbents in this job class.
PHYSICAL DEMANDS AND WORKING ENVIRONMENT
Work is performed in a standard office environment which requires occasionally lifting such articles as file boxes or heavier materials with help from others and/or lifting and carrying light objects frequently. A job in this category may require walking or standing to a significant degree or may involve sitting most of the time with long periods of computer work or heavy phone usage.
