Job Summary
The HIM Operations Associate II assists in the proper prioritization and timely processing of patient records, including follow-up of records not received to ensure complete patient medical records. Ensures proper work procedures are followed and a high level of attention to detail is maintained resulting in excellence in data integrity. Works under the supervision of the HIM Operations Supervisor.
This position will primarily guide a team within an area of HIM expertise, assisting in resolving issues, and completes superior level duties within that area.
Core Job Responsibilities
- Assists in guiding the daily work of an assigned team of employees, monitors work for quality and completeness, promotes effective teamwork throughout the department, and assists staff through upcoming and ongoing changes.
- Completes provider deficiency count and implements suspension activities per policy, including reviewing the deficiencies and initiating provider contact.
- Ensures new providers are set up for transcription process and assigned a provider ID. Monitors transcription software to ensure reports are interfacing. Communicates with transcription vendor. May assist in training providers on transcription and assists in downtime procedures.
- Assists in quality reviews, audits and data collection/reporting.
- Reviews and assists with updates of policies and procedures.
- Performs all duties of assigned HIM team members.
- Serves as a resource and role model. Mentors and assists with orientation and training for new employees.
- Completes all work queue assignments.
- Ensures area of HIM expertise is prepared for downtime events.
- Participates in record maintenance and retention procedures including record destruction.
- May assist with other HIM Department functions including but not limited to death certificate completion, printing PCRs from Ambulance HUB, answering phones, and general release of information functions.
- Provides service excellence to all customers through empathy, compassion, and knowledge of services available.
- Respects the privacy and confidentiality of patients.
- Uses proper judgement to assess situations and elevates issues in a timely manner when required.
- Complies with applicable laws, regulations and MVHS policies and procedures.
- Performs related duties as assigned.
Education/Experience Requirements
REQUIRED:
- High school diploma or equivalent and minimum of 3 years of experience in a hospital medical record department or similar medical setting
- Good interpersonal, customer service, verbal and written communication skills.
- Proficient with MS Office and EPIC
- Ability to work independently and as part of a team.
PREFERRED:
- Associate degree from a AHIMA accredited program
Licensure/Certification Requirements
PREFERRED:
- Certified as a RHIT (Registered health Information Technician)
