NYSUT Fleet Coordinator (Management Confidential)
Overview
NYSUT is seeking to hire a confidential assistant who will work on site in Latham, New York and be responsible for managing NYSUT’s fleet of vehicles. NYSUT’s fleet has approximately 175 vehicles. The successful candidate for this position would be responsible for planning, directing, managing, coordinating, and supervising the acquisition, assignment, utilization, maintenance, repair, replacement, disposal of fleet vehicles, and accident reporting. This position reports to the NYSUT Secretary Treasurer and works closely regarding fleet matters with NYSUT Staff.
Primary Responsibilities
· Arrange for acquisition, assignment, utilization, maintenance, replacement, disposal, and record keeping for company owned fleet vehicles and assigned drivers;
· Work with the third-party vendors to oversee accident management, track accident reports, incident reports and insurance claims, body damage repairs, violations, and post-accident driver procedures and requirements;
· Manage and monitor third-party fuel program and toll accounts;
· Provide training and guidance for drivers as required;
· Ensure vehicles are properly registered, titled, inspected, and insured;
· Answer general questions and refer matters to other staff as appropriate;
· Provide support for special projects; which may include researching matters, compiling data and information;
· Special projects and other duties as assigned.
Qualifications
· Excellent time management;
· Strong administrative, organizational, writing, and proofreading skills;
· Detail oriented and adept at managing multiple tasks simultaneously;
· Excellent communication and interpersonal skills;
· Experience with creating and establishing fleet policies and procedures - including vehicle assignment, replacement cycling, personal vs. business use, and accident reporting – is preferred;
· Understanding of logistics, supply chain, and vehicle maintenance practices.
· Experience with Fleet Safety and compliance is preferred;
· Proficient in Microsoft Office 360 (i.e. Word, Excel, Outlook), Teams, and Zoom and have experience with Internet research;
· Must be a self-starter, take initiative, and work well both independently and within a team in a fast-paced environment;
· A minimum of five (5) years of progressively responsible experience in a related area and/or a college degree is required;
