Overview
This is a provisional appointment.
Reporting to the Director of Time and Attendance and the Leaves Management Analyst, the Human Resources Administrative Assistant will perform a variety of administrative and clerical duties within the Human Resources Division.
Responsibilities
The HR Administrative Assistant's primary responsibilities include preparing and processing various documents and electronic forms relating to all personnel transactions for department personnel, providing administrative and clerical support to the time and attendance unit, and assisting with assignments that support the success of Boston Police Department's Human Resources Division.
- Prepare and disseminate attendance records and entitlement information.
- Respond to general inquiries about time, absences, and leaves, including but not limited to balances and entitlements.
- Enter employee's scheduling changes.
- Research and make adjustments to paid time off balances and city/state service time.
- Assist in the preparation and administration of leave accrual buy-back programs.
- Prepare paperwork for buyouts upon separation from the Department.
- Work with the City's Office of Human Resources, the Department's Office of Labor Relations, and individual time clerks to appropriately administer the leave accrual benefits of all pertinent collective bargaining agreements.
- Process leaves of absence transactions including but not limited to medical leaves, parental leave, military leave, and return from leave.
- Serves as backup to other HR assistants.
- Assist with Human Resources projects and assignments such as the Recruit Class, Promotional Exams, and Annual Compliance.
- Perform related work as required.
Minimum Entrance Qualifications
- Applicants must have a minimum of three (3) years of full-time or equivalent part-time paid professional experience performing administrative work.
- Proficiency with Microsoft applications and Google Suite is required.
- Ability to exercise good judgment, focus on detail, and maintain a high level of confidentiality as required by the job.
- The ideal candidate should have excellent organizational, communication, writing, and interpersonal skills.
- Demonstrated attention to detail and a strong work ethic.
- Preference is given to applicants with human resources and HRIS/HCM systems experience.
