The Administrative Coordinator for the Khan Institute will be responsible for supporting and maintaining a high level of quality customer support and overall project management for the staff of the Institute. The incumbent manages the daily administrative and service functions in support of the office. As the first person faculty, students, staff, and visitors encounter when they visit or contact the office, the administrative coordinator handles a variety of written verbal queries, processes paperwork associated with research development and administration, support plans an array of Institute events and initiatives, and assists the Vice Provost for Research & Innovation and the Managing Director with a range of tasks, including overall program management, events management, and provides front line information reconnaissance. The Administrative Coordinator ensures the smooth running of the Institute; provides support to the VPRI and Managing Director by managing a variety of projects and helps to communicate research initiatives to the internal AU community and external stakeholders.
Essential Functions
- Administration
- Schedule all department events and meetings, including room and/or venue reservations, catering, advertising and preparation of materials for department events.
- Manages the daily operations of the Office, Provides executive and administrative support to the Vice Provost for Research (VPR) and Managing Director in an effort to ensure timely and effective communications between the team and internal department constituencies, major administrative departments, other campus units and the public.
- Assist with the copier(s), open and close the office as needed and receive and sort mail.
- Assist the VPR and Managing Director in active problem solving and proposes resolutions to concerns based on a thorough understanding of university strategic goals.
- Project Management
- Provide support to the Institute staff through the coordination of projects including research opportunities, office initiatives, research support grants to faculty and students, support for the management of reports from consultants and other VPRI projects.
- Operations
- Oversees the daily administrative matters of the Institute and projects by staff.
- The incumbent is responsible for updating and maintaining the Institute’s website.
- Special Projects
- Assists the Managing Director with special projects and programs
Salary Range
- $55,000-$66,000 annually.
Position Type/Expected Hours Of Work
- Full-Time.
- 35 hours per week.
Required Education And Experience
- Bachelor's degree or equivalent.
- 1-3 years of relevant experience.
