La Jolla Music Society is one of the most prestigious and highly respected performing arts presenters in the United States. Our winter season presentations showcase a rich variety of classical, jazz, global roots, spoken word, family, and dance programming, at its state-of-the-art venue, The Conrad, as well as off-site venues throughout San Diego. In addition to our winter season and award-winning Learning & Engagement Programs, La Jolla Music Society also produces SummerFest, a renowned four-week chamber music festival featuring world-class artists and ensembles performing an array of concerts and programs curated by SummerFest Music Director, Inon Barnatan.

Summary

Reporting to the Production Manager, the Assistant Production Manager (APM) works alongside the production team and assists in performance related operations, including scheduling IATSE crews, and event management. Additionally, the APM works closely with the Production Manager, on all rentals and special events related operations, including assisting with contracts and estimates, supervising vendors, and serving as event manager, as needed.

Job Description

  • In consultation with the Production Manager, advance assigned LJMS performances, outside rentals, including facility and equipment rentals, staging requirements, IATSE and internal labor scheduling, and other logistical arrangements before, during and after productions.
  • Advance the production schedule and staging/personnel requirements for assigned concerts with tour managers, musicians, agents and rental clients.
  • As assigned, develop and distribute detailed production schedules for all concerts, rental events and rehearsals with venue and LJMS staff, as needed.
  • Responsible for advancing all Learning & Engagement events including Community and Holiday Open Houses, QRT.yrd Concerts, and Conrad Kids Concerts.
  • Create estimates, as assigned by Production Manager, for Rental Events regardless of whether assigned to advance the performance.
  • As assigned by Production Manager, communicate & coordinate with all external vendors on delivery times, hours of operation, and pickup times.

Contract Process

  • Work closely with the Production Manager on assigned LJMS contracts.
  • Review all rental contracts with the Production Manager and Artistic Rentals Manager for accuracy and event details, as assigned.

Visiting Presenters/Rentals

  • In conjunction with Artistic Rentals Manager, act as joint liaison and primary point of contact between LJMS staff and visiting presenters.
  • Solve day-of-event issues pertaining to schedule, labor, technical concerns, box office concerns, etc.
  • Complete performance/event wrap-up reports.
  • Coordinate with Tech and Facilities re: room setup needs on behalf of client.
  • For all assigned Rental events/concerts, finalize all actuals and send final settlement statements to Artistic Rentals Manager.
  • Attend Rental Tech call meetings, as assigned by Production Manager.

Admin & Scheduling

  • Work closely with Production Manager to ensure correct IATSE crew and internal LJMS Tech staff have been scheduled for each assigned concert/event.
  • Print and distribute schedules for all non-LJMS events work (PC prints schedules for LJMS events).
  • Assist the Production Manager with the scheduling of backline and equipment, as needed.
  • Send the Production Coordinator all invoices for processing and check requests.

CONCERT DUTY

  • In coordination with the Production Manager, concert check-in at top of show and intermission.
  • On-site for performances as scheduled by Production Manager,
  • For all LJMS and rental performance and events, relay incidents to Facilities to create reports.
  • Step-in as Stage Manager when Production Coordinator is not available.

Qualifications

  • 2-3 years of relevant experience
  • Experience with Stage Management
  • Strong oral and written communication skills
  • Ability to organize and balance details for multiple events simultaneously
  • Experience scheduling crew and overseeing load-ins/loadouts
  • Ability to lift 30lbs.
  • Ability to work nights and weekends
  • LJMS standard office hours are M-F 9-5 , but the schedule for this position will fluctuate to meet the needs of events and performances.
