Schedule: 52 week position (Full-Year)
Hours: Monday-Friday, 8:00 - 4:00 (37.5 hours/week)

Summary: The Front Desk/Front Office Clerk is responsible for welcoming students, staff, and visitors to Salem High School, monitoring visitor access while ensuring compliance with safety and security protocols, and completing clerical tasks as assigned. The clerk will also assist with key responsibilities such as preparing and tracking budgetary requisitions, tracking student and staff attendance, important mailings and other communications, maintaining confidential files, and supporting other members of the administrative and secretarial team as needed. Reporting to the Principal (or her/his designee), the Front Desk Clerk will serve as a key member of the Salem High School clerical team and will be assigned clerical tasks and projects to support the functions of the Salem High School Principal’s and other administrator offices.
Major Duties And Responsibilities
- Greets all students, staff, and visitors to Salem High School (both in-person and over the phone) with a welcoming demeanor that demonstrates our values of belonging, equity, and opportunity. This person serves as the first “face” of Salem High School to all visitors and as such, should be culturally responsive so that all feel welcome in our district.
- Monitors the arrivals and departures of visitors to Salem High School and assures that all safety protocols for visitors entering the high school front door are followed at all times.
- Uses all available resources to ensure that visitors are welcomed and receive information in the language of their preference.
- Utilizes and oversees the use of the Raptor visitor system
- Updates the Student Information System in regards to student attendance
- Receives and directs phone calls from staff or visitors and informs appropriate staff and departments, taking and delivering messages when necessary.
- Performs general secretarial and clerical functions (e.g. scheduling, copying, faxing, data entry, filing, mailings, etc.) when possible for the purpose of supporting the operations of Salem High School administration
- Distributes student report cards, school brochures, and other necessary forms as needed
- Maintains a variety of files and records as assigned, such as student lists, daily bulletins, building usage, orders, enrollment records, bus and emergency information, and a wide variety of other files and records as assigned
- Types forms, form letters and other documents as required at acceptable levels of speed and accuracy; collates and photocopies materials as necessary; maintains supply of forms and charts as needed
- Receives, sorts and distributes mail within the office; files correspondence and other materials as require
- When possible, manages the postage machine and supports mailings through the Salem High School principal’s main office
- You also assist with key responsibilities such as preparing and tracking budgetary requisitions, tracking student and staff attendance, important mailings and other communications, maintaining confidential files, and supporting other members of the administrative and secretarial team as needed.
- Additional duties as assigned by the Principal and/or his/her designee as it pertains to the AFSCME contract and the role of Senior Account Clerk

- Has basic computer skills, experience with Google docs and Excel or Google Sheets a plus

- Responds positively to the demands of work when confronted with change, adversity or other challenges (adapts well to change in the work environment)

Qualifications
- High School diploma or equivalent
- Bilingual (Spanish) required; proficiency in Portuguese a plus
- A minimum of two years of successful experience in a related secretarial or office position
- Prior clerical experience working in a school district setting preferred
- Must have positive interpersonal skills and be able to work effectively with a variety of individuals
- Ability to establish and maintain a positive and professional relationship with co-workers, students, parents, staff and visitors; cultural sensitivity and ability to relate well and effectively in diverse workplace and with a diverse client population
- Ability to operate and trouble-shoot general office equipment (e.g., copier, fax, calculator, phone, etc.)
- Proficiency with or ability to learn computer systems such as Google, Gmail, Canva, Microsoft Outlook, Word, Excel, PowerPoint, Mac, Aspen Student Information System, and other software
