Position Summary
The Food Sourcing Manager has primary responsibility for all purchasing activities for MANNA FoodBank including internal programs administered by MANNA. The Food Sourcing Manager will provide forecasting, budgeting, vendor analysis, and procurement for products needed to support MANNA’s 16-county service area and any additional areas as determined by Senior Leadership. This position will also be responsible for all food drives activities for the food bank.
Oversight of Other Persons/Positions: Volunteers, assigned AmeriCorps Service Member and interns as needed.
Essential Duties And Responsibilities
Design, develop, implement, evaluate, and manage all procurement activities in support of MANNA FoodBank for those who are food insecure. This includes purchasing for our partner agencies, MANNA Mobile Programs, Youth Programs, and any other programs assigned by the organization. Develop and maintain a robust, traceable, and accountable food purchase strategy built upon the approved budget, supply/demand and specific department and program needs. Monitor, update, and ensure that the food purchase budget is adhered to and that all expenditures come in at or below budget for each fiscal year.
Manage Manna’s Food Drive Programs by executing on our five major food drives throughout the fiscal year as well as small food drives as asked for by the community or as need by the organization.
Purchasing/Procurement/Budgeting/Nutrition
- Provide complete project management of the annual Food Purchasing Plan (Procurement) and any other activities which meets and supports MANNA’s overall Food Sourcing objectives as outlined in the annual work plan.
- Develop, execute, monitor and balance purchasing budgets for MANNA FoodBank.
- Develop and deliver reports, proposals, presentations and plans to MANNA senior management and key stakeholders as it relates to this position’s role.
- Develop and oversee performance measures to assess vendor performance and adjust direction as needed.
- Plan, manage and report on project milestones, ensuring project delivery on established timelines and/or developing strategies to mitigate risks related to food procurement.
- In support of MANNA’s ongoing healthy food initiatives, this role facilitates coordination with the Health and Nutrition Manager and Agency Relations to source healthy and culturally appropriate foods that meet the needs of the communities we serve.
- Monitors healthy food scoring in MANNA’s inventory software system with input from the Health and Nutrition Manager.
Project Management, Planning And Execution
- Update and maintain product demand reports for use when purchasing to ensure MANNA maintains consistent inventory levels based upon the annual purchasing budget.
- Manage the implementation and procurement for the Essential Foods program. (meat, eggs, cheese)
- Regularly balance the purchasing tracker to the budget
- Assess the capacity and quality of products by vendor, identify gaps in product delivery, and propose mitigation plans to close gaps.
- Recruit vendors as needed to support closing gaps and improving quality. Ensure MANNA is looking at local vendors as a matter of priority when selecting vendors.
- Responsible for MANNA’s food drive program including the five key food drives (BIG 5) throughout the year: Mountain State Fair, Holiday Food Drive, Student Food Drive, VA Hospital Drives and National Association of Letter Carriers. Also responsible for smaller community/business-based drives as requested.
- Responsible for food drive planning, relationship building and maintenance, monitoring, and execution including project planning, staff coordination, day-of execution, follow up and donor recognition.
- Manage and monitor the "Choice" system from Feeding America, which provides food donations through a bidding system.
- Manage and monitor Meal Connect for purchasing and donation opportunities. Receipting as needed in the Meal Connect System.
- Provide additional support for departmental and organizational events and activities.
AmeriCorps Service Member Or Intern Supervision
If applicable: Supervises the AmeriCorps Food Sourcing Administrative Service Member or Food Sourcing Administrative Intern. In coordination with the Director of Food Sourcing, this position sets the member’s/intern’s work plan within the department and oversees their training and daily supervision and program reporting.
Requirements
Qualifications:
- A minimum of 1-2 years’ procurement and purchasing experience is preferred.
- Education/Experience: A range of education, training, certifications, and experience will be considered for this position. This range could include but is not limited to:
- High School diploma or equivalent with specialized training and/or certification and at least 2 years of relevant work experience
- Associate degree with at least 2 years of relevant work experience
- Four-year degree and 1-2 years of relevant work experience
- Graduate degree and 1 year of relevant work experience
- Fields of experience can include, but are not limited to, purchasing/procurement, project management, sales, non-profit management, operations/logistics or a related field.
- Superb verbal and written communication skills with the ability to clearly present information and influence or persuade others, including senior management and project partners.
- Experience effectively adapting communication style to different audiences.
- A proven record of successfully procuring products, developing, and tracking budgets to support purchasing activities.
- An analytical mindset and confidence working with data to draw conclusions and help drive business decisions.
- Excellent research, problem-solving, and analytical skills, and sound business judgment
- Initiative-taker who is driven and comfortable with changing priorities; able to work independently in a dynamic environment.

Working Conditions
Work is completed in a typical office environment or at a home office as well as at community/event sites with occasional exposure to a warehouse environment. This role routinely utilizes standard office equipment such as computers, phones, photocopiers, filing cabinets, etc. During Food Drive events, the employee is required to work outdoors, and sometimes at extreme temperatures. The noise level in the work environment is usually moderate.
Physical Requirements
The physical demands required are representative of those that must be met by the employee to successfully perform the essential functions of the job.
The physical demands of this position are considered medium-sized work. While performing duties the employee is regularly required to use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The employee is frequently required to sit, stand; walk; and stoop, kneel, or crouch. Occasionally, this position is required to climb or balance. During Food Drive events and other organizational events, the employee must regularly lift and move objects up to 25lbs. Specific vision abilities require visual acuity to operate motor vehicles; close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Travel
Routine moderate travel is required within the service area, occasional overnight travel for conferences or regional meetings.
Employees must provide proof of current, valid driver’s license with clean driving record.
Schedule: This is a Hybrid position with the ability for a combination of work from home/field and office. Availability to work a flexible schedule Monday – Friday to be agreed upon with immediate supervisor. Occasional evening or weekend work as needed for department or organizational events.
In instances of a federal, state or locally declared emergency or order, MANNA FoodBank is typically considered an essential service and emergency responder; all employees may be called upon to perform regular or emergent duties.
