Position: Administrative Assistant for Payroll
Location: Central Administration Office
Schedule: Twelve-month position 8:30-4:00 p.m.
Reports to: School Business Administrator
Salary: $60,000-$70,000
To Start: Estimated on July 1st, 2025
Job Description
To accurately and timely prepare and process all payroll-related functions for Milford Public Schools. This includes managing employee data, calculating and distributing pay, and maintaining compliance with all relevant policies and regulations.
Qualifications
- Prior experience in payroll or HR administration, preferably in a public sector or school setting.
- Associate's degree in business administration, preferred
- Strong knowledge of payroll systems, benefits, and retirement procedures, preferred
- Strong computer and data management skills including Excel, Google Sheet, ERP Pro knowledge, preferred
- High level of professionalism and the ability to maintain confidentiality.
- Self-motivated, organized, high level of accuracy and attention to detail
- Ability to work independently and prioritize competing deadlines
- Excellent oral and written communications skills
- Such alternatives to the above qualifications as the School Department may find appropriate
Duties and Responsibilities
- Manage bi-weekly payroll processing and ensure accuracy and timely completion to meet established deadlines. 2.Prepare and process timesheets from multiple departments and schools; follow up on missing or incomplete submissions. Use Excel to verify calculations and budget allocations before data entry. 3.Reconcile opening and closing payroll reports in detail; resolve discrepancies and report any unresolved variances. 4.Print and distribute final payroll reports to the School Business Administrator and Town Hall for approval. 5.File all payroll records in compliance with Massachusetts state retention guidelines. 6.Provide ongoing support to employees regarding payroll, deductions, and direct deposits. Mail or print direct deposit stubs and live checks as needed. 7.Assist with new hire processing including employee position maintenance and employee benefits and deductions. 8.Reconcile and upload MTRS monthly deduction reports. Coordinate with MTRS and the Treasury Office to resolve discrepancies and submit documentation. 9.Add and remove employees from the MTRS roster; complete enrollment, retirement, buyback, and leave forms. 10.Collect union enrollment documents and enter dues into the payroll system. Distribute reports to the Teachers Union, AFSCME, and MTRS bi-weekly or as needed. 11.Assist unemployment and salary verification requests 12.Provide cross-functional support for central office operations and perform backup duties for other administrative positions when necessary 13.Update employee handbooks and Central Office procedure manuals as needed 14.Process student work permits as needed 15.Generate specialized reports for the Superintendent and School Business Administrator 16.Complete other related assignments as directed by administration
