POSITION TITLE: Administrative Assistant I - Advising & Success (INTERNAL POSTING)

DEPARTMENT: Advising & Success

PRIMARY LOCATION: Fall River, MA

REPORTS TO: Director, Advising & Success

POSITION STATUS: This is a full-time, state funded, AFSCME, unit-classified position with benefits. AFSCME Unit I, Grade 15, Step 1

SALARY: $52,737.88 annually.*

STATEMENT OF DUTIES

The Advising and Success department is comprised of Academic Advising, Testing & Student Readiness, Coaching, and the Success Initiative. The department seeks to provide a relentless welcome to their students; prioritizing relationship building, motivational support, and accurate, timely advising.

The Administrative Assistant I is a key member of the Advising and Success team, directly serving students and their families in their successful educational pursuits at Bristol Community College. They play a crucial role in supporting the day-to-day operations of the department, including responding to inquiries from students and families and serving as a liaison across college departments. Reporting to the Director of Advising & Success, a core function of the role will be to support the director and the SUCCESS initiative with all administrative needs. Additionally, they collect, analyze, and report on data to inform decision making within the department. This role has an opportunity to make a difference in students' lives through displaying compassion, providing exceptional customer service, and ensuring robust departmental support.

Essential Functions, Duties And Responsibilites

  • Serve as a point of contact for students and families, providing high quality customer service through professional communication and problem-solving skills.
  • Manage the daily operations of a busy, complex department in an office environment.
  • Provide support in tracking the SUCCESS initiate budget including originating and processing related forms such as Personnel Action Forms, requests for expenditure, travel vouchers, etc.
  • Assist with coordination and maintenance of advising schedules for staff across all Bristol locations.
  • Schedule student advising appointments.
  • Collaborate with staff and faculty across the college as a liaison to the Advising & Success department including gathering information from Academic Deans regarding faculty caseloads, etc.
  • Assist with the advisor assignment process, utilizing college technology.
  • Collect, analyze, and report on data to assist the department in making data-informed decisions.
  • Support the department's mass communications to students in collaboration with the Director, Associate Directors, Academic Coordinators, and Marketing & Communications, where appropriate.
  • Utilize college systems in daily work, such as Banner, ARGOS, Degree Works, Slate, EAB Navigate, and Microsoft Office 365.
  • Provide administrative support to the Director of Advising & Success
  • Support data tracking, reporting, and organization for annual SUCCESS fund grant reporting activities.
  • Perform other duties as assigned, consistent with the Collective Bargaining Agreement.

Requirements

REQUIRED QUALIFICATIONS

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.

Substitutions

I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. *

II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. *

  • Education toward such a degree will be prorated based on the proportion of the requirements completed.

Additional Required Qualifications

  • Ability to exercise discretion in handling confidential information.
  • Demonstrated skills in the use of software applications and office equipment.
  • The ability to work effectively with a diverse faculty, staff, and student body.

Preferred Qualifications

  • Associate's degree or higher.
  • Demonstrated experience working in a higher education and/or community college setting
  • Working knowledge of Banner, Argos, Degree Works Microsoft 365, and/or EAB Navigate
  • Experience with EAB Navigate, Slate, Degree Works, and Banner or significant use of comparable SIS;
  • Possesses excellent critical thinking skills and has a flexible approach to problem solving;
  • Demonstrated understanding of higher education principles, practices, and procedures;
  • Possess strong organizational skills and is detail oriented.
  • Ability to work independently and respond quickly to email and chat-based correspondence;
  • Ability to speak a language in addition to English
