Agency Administration Business Analyst? American Income Life is looking for an
Agency Administration Business Analyst to join the team!
In this role, you will be responsible for the planning, development, deployment, and support of a wide range of highly variable new and existing projects related to functions within the Agency Administration Department and the AIL Sales Division. The position requires regular and direct interaction with Senior Leaders and Executives of the Agency Department and the Sales Division. They will be required to work across multiple functional departments as necessary.
The role is responsible for the thorough evaluation, prioritization, and resolution of departmental processes and sales initiatives. The position will collaborate directly with team members, managers, executives and Agency Owners/State General Agents as well as agents and sales directors. The position will require communication and collaboration with leaders from various functional areas at the Home Office, including but not limited to Agency Administration, Agency Accounting, Agent Licensing, Policy Administration, Customer Care, New Business, and Underwriting. The position will work directly with Department Leaders and Sales Executives to identify areas for future improvements to existing processes and implementation of new processes and requests as necessary.
The Business Analyst will gather data from various sources and applications and prepare professional ad-hoc reports for Executive Leaders of the AIL Sales Division and sales organizations (SGAs). The position will compile and analyze data relating to sales activity and document business requirements for IT programming changes for various application systems utilized by the department. The Business Analyst role encompasses a wide range of responsibilities, with a high degree of variability for each task.
This is a hybrid position located in Waco, TX (WFH Monday & Friday, In Office Tuesday-Thursday).
What You Will Do
- Compose professional communications representing the Company, in response to time-sensitive or escalated inquiries.
- Assist Management Team with various tasks pertinent to Department operations.
- Extract and/or compile statistical data from various established databases, sequel tables and resources to create and maintain ad-hoc reports and summary recaps outside of core Enterprise Reporting tasks for executive management.
- Secondary review and auditing of production, quality, compensation/bonus data, and other agent metrics as requested.
- Review and research of MGA/RGA growth figures and bonus metrics as well as direct communication with agents and SGA regarding the data as needed.
- Research and analyze activity and data involving all aspects of the agent life cycle with focus on key activities performed by agent sales agents in the submission of new business, and retention and service of existing business.
- Research and analyze activity and data involving all aspects of the producer life cycle including but not limited to agent onboarding, licensing, agent compensation, commissions, PVFC, policy administration, agent production and retention, union dues and group insurance processes, etc.
- Coordinate directly with multiple functional areas at the Home Office to obtain information required for completion of daily research and correspondence tasks.
- Auditing of payments and signoff for PR independent contractors, group insurance, and union dues, agent awards and anniversaries and any other agency admin related payments.
- Submission of departmental program/work requests and review of department legacy systems and procedures for future improvements regarding policy/agent routing, group insurance and union dues processes, agent verifications, twist letters, retention extracts, etc.
- Maintenance and documentation of the collective agreements for each of our unions (OPEIU, UFCW, UNIFOR) regarding agent, PR, and clerical requirements. Submission of IT program requests for all related data to ensure our systems are in compliance with all union requirements.
- Prepare documentation and training materials relating to improvements in Department processes and communications. Assist teams in developing solidified processes to provide timely and accurate delivery of agent service and customer service.
- Prepare professional documentation outlining concise information for the Department leaders, including the clear definition of the problem, and desired resolution or results.
- Prepare and develop training materials to prepare for deployment of new programming and business processes.
- Prepare ad-hoc reporting for Executive Leaders for the AIL Sales Division and the Agency Organization. This includes gathering data from various systems and applications, analyzing the data, and preparing the information for the Executive Sales Leaders to be used in decisions and future outcomes.
- Provide direct support to the AIL Sales Division Executive Leaders to research and analyze data relating to sales activity of the company.
- Create test plans and document testing scenarios for user acceptance testing, as required for technology changes for existing and future IT applications, specific to the needs of the company.
- Collaborate with IT developers, Executive Management, Agency Administration Department, Licensing, and Agency Accounting Department team members to analyze information for development, testing, and implementation of new programming.
- Gather requirements, research, and analyze data for departmental and sales initiatives to help grow sales, and grow and retain agents.
- Compile information from various perspectives and make recommendations for improvements and future enhancements to the systems, procedures, and processes.
- Collaborate with management on modeling requests from the SGA Executive Council Members and sub-committees.
- Prepare training materials for team members. Conduct onsite training to prepare for deployment of new programming and business processes.
What You Can Bring
- Bachelor’s degree in business administration or other related field, or equivalent work experience.
- 3+ years working in Sales Administration, Agent Compensation, Policy Administration, or New Business, or equivalent work experience in a Professional Business Liaison or Business Analyst position.
- Experience in the life insurance industry preferred.
- Existing knowledge of back-office agent administration and agent compensation preferred.
- Must be solution-oriented and possess a strong desire to learn new aspects of the business to understand the needs of the department, sales executives, and agents to resolve escalated and specialized matters.
- Advanced verbal and written communication skills and the ability to interact professionally with a diverse group of executives, managers, and sales agents.
- Must manage time effectively and work independently in establishing responsible deadlines for work, with a wide range of variability and priority.
- Must be able to work independently with minimal direction/supervision.
- Ability to multi-task and easily adapt to changing priorities and/or deadlines.
- Ability to work under pressure and handle escalated and sensitive matters with care, empathy, and professionalism.
- Advanced knowledge and experience in Microsoft Excel/Access.
- Ability to create documentation, training materials, technical business requirements, technical testing scenarios, from foundation to completion.
