The City of Medford is seeking an Administrative Support Technician to join our Facilities Management team. In this role, you’ll play a key part in supporting internal processes, coordinating facility-related projects, and ensuring timely completion of payroll, contracts, and reporting responsibilities.

Required Education And Experience
- Graduation from high school or GED equivalent; and
- Four (4) years of progressively responsible experience in the principles, policies, and practices of office administration.
- Bachelor’s degree in business management, business administration, public administration, or other specific area of study as deemed applicable may substitute for the two (2) years of experience.
Available Schedule
- 8 hours daily, Monday - Friday

- Scheduled salary increases and a potential 2.5% Cost of Living Adjustment (COLA) are anticipated effective July 1, 2025**
The anticipated hiring range for the Administrative Support Technician position is $23.51 (first step) to $24.68 or $25.92 (second or third step). The City of Medford determines starting pay based on an evaluation of relevant education, experience, and qualifications as provided by the applicant in their application materials, alongside others who perform work of comparable character consistent with the Oregon Equal Pay Act. Six steps are included in this salary range, allowing opportunity for annual movement through the steps.

Examples of Job Duties
Essential Functions Of The Position
- Responds to requests for information from the public, internal departments, and employees, including calls, correspondence, customer service interaction, distributing mail, etc.
- Performs administrative duties, processing mail, filing, processes training requests, travel expenses, etc. Uses office equipment, computers, software and programs effectively and efficiently.
- Accurately verifies and enters employees’ scheduled hours, time off, and overtime; provides hours to the payroll department for timely processing.
- Produces and distributes documents, extracts and compiles data for reports, processes records.
- Uses prescribed procedures to process, distribute, record and destroy sensitive information and records; maintains and coordinates records retention activities.
- Oversees various financial responsibilities, including accounting, purchasing, accounts payable/receivable, and purchasing card processing. Codes and processes invoices, purchase orders, etc.
- Acts as the technology liaison for computers and staff cell phones.
- Administrates user access to database that tracks staff time and expenses per asset.
- Creates work orders for facility repairs and services.
- Supports/assists Manager and department staff with projects, requests for proposals, capital improvements, comprehensive spreadsheets, public outreach, etc. Creates, processes, and tracks contracts. Acts as liaison with contractors to assist with City, State and/or Federal processes.
- Human resources liaison for personnel requisitions, hiring and promotional processes, maintains employee records, etc.
- Reviews and works with confidential documentation.
- Files staff training sign in sheets for required safety trainings.
- Trains staff on software upgrades, database changes, mobile software changes, etc.
- May be responsible for assisting with workload, directing tasks, training, etc. of other administrative staff.
- May be required to drive to attend off-site meetings and run various errands.

- Prepares and schedules meetings with staff prepares and distributes agendas, attends meetings, takes and distributes minutes, etc.
- Performs other duties as assigned to support the overall function of the department and organizational goals.

Work Environment & Physical Demands
This position requires inside, office desk work that includes exposure to regular office noise and distractions, adequate lighting, and regulated HVAC systems in relation to temperature. This environment may also include interactions with the public. Occasional travel by motor vehicle on public roads may be required.
To perform this job successfully, an individual must be able to accomplish each of the essential job functions satisfactorily. This position involves extended periods of sitting and standing, with occasional walking, crouching, bending, stooping, twisting, turning, and balancing. The employee is regularly required to operate a variety of automated office machines which include a computer, printer, copy machine, calculator, telephone, etc.
